32 WhatsApp Message Templates for Real Estate Agents (Copy and Paste)

32 short, ready-to-copy WhatsApp messages for every stage of a property deal, from the first reply to the referral ask, plus the etiquette that keeps your number out of trouble.

Key takeaways

  • Short, personal messages that end with one clear question get far more replies than long sales pitches.
  • Use {name} and {project} as placeholders; fill anything in [brackets] by hand before sending.
  • Only message people who asked to hear from you, during sensible hours, and stop when they say stop.
  • Send messages one lead at a time. Mass forwarding to strangers gets numbers reported and restricted.
  • Save your best templates in your CRM so each one is a single tap from the lead's page.

Most property conversations now happen on WhatsApp. Buyers reply there faster than to calls or email, share messages with family, and come back to the chat when they are ready. That makes the words you send on WhatsApp some of the most important in your business.

Below are 32 WhatsApp message templates for real estate agents, grouped by the stage of the deal. They are short on purpose: two to four lines, one clear next step. Copy them, change the tone to sound like you, and save the ones you use most.

A note on placeholders: {name} is the lead's name and {project} is the project they asked about. A CRM that supports them fills them in for you. Anything in [square brackets] you fill in by hand before sending.

What makes a WhatsApp message work

  • Personal first line. Their name and the specific project, not "Dear Customer".
  • Who you are. In the first message, say your name and company. People get messages from unknown numbers all day.
  • One question. "Would Saturday 11am or Sunday 4pm suit you?" gets a reply. "Let me know" usually doesn't.
  • Short. If it needs scrolling, it's a brochure, not a message. Send the PDF separately.
  • Your own voice. Edit these templates until they sound like you talking.

WhatsApp etiquette for real estate agents

Good templates won't help if your number gets blocked or reported. These rules keep you on the right side of clients and of WhatsApp.

Consent

  • Message people who gave you their number and asked to be contacted: enquiries, form fills, walk-ins, referrals who agreed to an introduction.
  • Don't message numbers from bought lists or scraped groups. It's poor practice, may break privacy rules where you work, and leads to blocks.
  • When someone says "not interested" or "stop", stop. Note it in your CRM so nobody on your side messages them again.

Timing

  • Stick to normal working hours in the client's time zone. Mid-morning to early evening is a safe default.
  • Be mindful of prayer times, religious holidays and weekends, which differ between India, the UAE and the US.
  • If a lead enquires at midnight, a two-line acknowledgement is fine. Save the full follow-up for the morning.

No spam

  • One message, then wait. Don't send three follow-ups in a row to someone who hasn't replied.
  • Don't add people to groups without asking.
  • Avoid forwarding the same brochure to your entire contact list. It looks like spam because it is.

WhatsApp's own rules, in general terms

  • WhatsApp's policies are against unsolicited bulk messaging, and numbers that get blocked or reported often can be restricted or banned.
  • The free WhatsApp Business app gives you a business profile and other tools for a small business. It's meant for personal, one-to-one conversations.
  • Broadcast lists only reach people who have saved your number, which is WhatsApp's way of limiting messages to people who know you.
  • Large automated campaigns need the official WhatsApp Business Platform through an approved provider. That's a separate product with its own approval process.

Tip: Ask early, "Is WhatsApp the best way to reach you?" A lead who says yes has given you a clear go-ahead, and you can note it on their record.

How templates work in Boring CRM

Copying text from a notes app every time is slow, and typing names by hand is how you end up sending "Hi Ravi" to Aisha. Boring CRM, a free Android CRM for real estate agents, keeps your templates one tap away from every lead.

  1. Save your templates. In Settings → WhatsApp Templates, add or edit your own messages. Use the {name} and {project} chips to insert placeholders.
  2. Open a lead and tap WhatsApp. Pick a saved template, or Blank Chat if you want to type freely.
  3. Placeholders fill themselves. {name} becomes the lead's name and {project} becomes their project. If no project is saved, it reads "the property".
  4. Review and send. The chat opens in WhatsApp or WhatsApp Business with the country code already added. Fill any [brackets], then press send yourself.

It's deliberately one lead at a time. Boring CRM is not the WhatsApp Business API, so there's no bulk broadcast and no chatbot. That keeps each message personal and keeps your number safe. Learn more on the WhatsApp CRM for real estate page.

Make these templates your own

Start with five or six: first response, visit confirmation, day-before reminder, post-visit thank you, quotation sent and gentle check-in. Use them for two weeks, notice which ones get replies, and rewrite the ones that don't. A template should save you typing, not make you sound like a robot.

Pair them with a clear cadence so you know when to send each one. Our real estate follow-up schedule has timing templates by lead type.

Frequently asked questions

How do I write a good WhatsApp message to a property lead?

Keep it to two to four lines, use the person's name, mention the specific project or unit, and end with one easy question such as a choice of two times. Introduce yourself in the first message, avoid all-caps and long brochure dumps, and never send the same message twice in a row if they haven't replied.

What time should real estate agents send WhatsApp messages?

Stick to normal working hours in the client's time zone, roughly mid-morning to early evening. Avoid early mornings, late nights and times of prayer or major holidays unless the client has asked you to message then. If a lead enquires late at night, a short acknowledgement is fine, but save the detailed follow-up for the next day.

Can I send bulk WhatsApp messages to my leads?

Sending bulk messages to people who have not opted in goes against WhatsApp's policies and can get your number restricted. For a handful of leads, send individual, personalised messages. Large automated campaigns need the official WhatsApp Business Platform through an approved provider, which is a different product from the regular WhatsApp and WhatsApp Business apps.

What do {name} and {project} mean in a template?

They are placeholders. When you send a template from a CRM that supports them, {name} is replaced with the lead's name and {project} with the project they are interested in, so the message reads as personal without retyping. In Boring CRM, if a lead has no project saved, {project} becomes 'the property'.
